A Crash-Course in VoIP Phone Systems

A Crash-Course in VoIP Phone Systems

Phone systems are at the heart of your company’s processes. They streamline communication, keep everything updated, and provide a reliable lifelines to the outside world–and that means they need to be capable of keeping up with you. If your landlines are holding your company back, it might be time for a crash-course in Voice over Internet Protocol systems.

VoIP Phone Sytems

Although technology is constantly moving forward, too many companies have gotten comfortable with phone systems that don’t provide for all of their needs. Outdated landlines might work well enough, but it’s a guarantee that they’re wasting money and causing problems that can be avoided just by switching to a newer, faster, more efficient phone system. That’s where VoIP options come in. Because VoIP systems take advantage of the Internet connection you’re already utilizing, there’s no need to pay for anything new or complicated.

When you choose VoIP phone systems, you get access to more immediate benefits, including:

  • leasing options, allowing you to negotiate terms that work for you instead of buying the whole system;
  • a full range of services, including voicemail-to-fax, voicemail-to-email, and more;
  • maintenance agreements, meaning that the hosted phone company will handle the expenses that come with upgrades or repairs;
  • and better prices, saving you money on equipment, service, and calls that use the same IP network (which means that you can call any of your company’s offices for free).

VoIP phone systems do generally require that you upgrade your phones themselves, and the service will depend directly on how good your Internet provider is. That said, upgraded systems are easier to use, cheaper overall, and adapt easily to everything from mobile devices to numerous phone lines. Once you’re enjoying all those benefits, you’ll never look back to your old landlines.

Now that you know the basics, are you ready to switch to a VoIP phone system? Contact us today!

How Document Management Grows With You

How Document Management Grows With You

There aren’t many office solutions that can keep up with every change in your company, but document management is one of them. When you know how to utilize all the benefits provided by document management, you can rest assured that you’ll always be able to keep up with data, documents, and files, even as your company grows.

Scaling Like a Pro

Company growth is unique in that it creates good problems. More new clients whose information needs to be stored, more files that need to be shared between groups, more important documents to protect–it’s a lot of work, but that doesn’t have to be a problem. As long as you integrate document management solutions to keep your workflows streamlined and secure, it’s easy to make sure that your processes always scale up with you.

So, how exactly does document management keep up with your changing needs and goals, all without harming the budget? Here’s a quick look.

  • Document management prioritizes organization.

Organization is important for any company, no matter what size–and it’s something that you can take with you as your business continues to grow. Document management helps you create a solid foundation of naming conventions, file regulation, and automated processes that will stay efficient no matter how much the workload may grow.

  • Document management helps you search.

If you can’t find a document, you can’t use it. Luckily, document management cuts down on the burden of file cabinets and physical papers, instead providing fast, stress-free ways to search. Keyword indexing and optical character recognition help you find exactly what you’re looking for–and they’ll work just as efficiently with five files as with five hundred.

  • Document management makes compliance a breeze.

Compliance is crucial no matter how big your company is, but when you have more data to defend, you have more work to do. With countless security solutions like password protection, audits, and user authorization, document management helps you tackle any compliance concern you’ll ever have.

Document management can scale with your company, providing more benefits as you grow bigger–but you’ve got to take the first step. Contact us today!

Video Conferencing in the Hiring Process

Video Conferencing in the Hiring Process

It’s hard to deny that technology is changing the business world, one process at a time. Communication is easier, data storage is smoother, and environmental friendliness is more achievable than ever–but that’s not all. The hiring process is next on the list for a technological upgrade, and video conferencing is the perfect tool for the job.

The Right Way to Hire

Hiring the right people is a huge part of ensuring your company’s longevity and success–but that’s a lot of pressure! It doesn’t help that the traditional hiring process is based on outdated paper workflows, meaning that employers have to schedule and organize interviews, deal with physical résumés, and generally make a lot of tough decisions without the streamlined benefits of modern processes. Luckily, that doesn’t have to be the case.

Benefits of Video Conferencing

There are countless ways to bring your hiring processes into the digital world, but video conferencing offers unique benefits that you won’t want to work without.

#1: Never have a scheduling problem again.

Don’t limit your hiring opportunities by letting schedule conflicts get in the way. Instead, use video conferencing to create quick, easy interviews that demand less prep time and don’t require anyone to travel.

#2: Cut out confusion and boost efficiency.

If you’re finding that traditional hiring processes are causing confusion or wasting time in your workplace, it’s definitely time for an upgrade. Video conferencing can make it easier to share information, coordinate communication, and connect with potential employees in more meaningful ways.

#3: Limit the stress.

Hiring is far from a stress-free pastime, both for you and for your potential workers. That’s one of the best benefits of video conferencing: although it is still professional and efficient, it can help minimize the stress of an interview and make it easier to clearly, confidently ask questions, interpret body language, and make the right decisions.

Are you worried that your hiring processes are outdated? Worry no more. Contact us today to learn more about video conferencing and other tech tools!
